Title:  Human Resources Associate

Short Summary

Reporting to the Director, Human Resources, the Human Resources Associate (“HR Associate”) will be responsible for providing support to the Human Resources (“HR”) team.  The HR Associate supports the planning, organizing, directing, controlling, and evaluating the operations of the HR department.  The incumbent will be the first point of contact to the HR department; greeting and directing employees and managers while providing direct support to the Director, Human Resources, Senior/Human Resources Advisors.


In this highly administrative role, the incumbent will maintain personnel and general office files and data entry items, including tracking systems for employee recognition programs and recruitment processes whilst assuring compliance with all applicable federal and provincial regulations and Company guidelines and policies. 

Job Description

Human Resources Administration

  • Responsible for accurate data management in the Human Resources Information System (“HRIS”), including but not limited to new hires, salary changes, termination, status changes, address changes, training and disciplinary records etc.
  • Prepares drafts of general forms, letters, reports, and memos as required
  • Filing various correspondence, invoices, receipts and other documentation.
  • Prepares, analyses and provides data for various corporate reports Compile
  • Ensures adequate availability of all HR related booklets and forms; sort and distribute incoming faxes, mail and resumes; order necessary office supplies and file accordingly
  • Supports the administration of the employee recognition (High Five) program, which includes keeping a log of all points and awards issued, holding draws for quarterly prizes and assisting with organizing celebrations
  • Assists and/or directs employee inquiries to appropriate HR team members
  • Assists HR team members with reports and data compilation as required e.g. quarterly reports


  • A relevant college diploma or university degree in Human Resources or Employee Relations or equivalent is preferred
  • A minimum of three (3) years of related Human Resources experience is required
  • Requires handling of light and moderate weight objects including office equipment and other office/job fair marketing supplies
  • Working knowledge of human resources and health and safety principles and applicable legal and regulatory guidelines is required, including but not limited to the Employment Standards Act (“ESA”), Occupational Health and Safety Act (“OHSA”), Accessibility for Ontarians with Disabilities Act (“AODA”), Human Rights Code (“HRC”) and other applicable regulations
  • A minimum of one (1) year of experience with an HRIS (Workforce Now) is preferred
  • Ability to balance a wide variety of priorities with minimal direction
  • Demonstrated ability to use good judgment and to apply problem-solving skills on a variety of issues
  • Bilingualism (English/French) is an asset

Working Conditions

Working in an office environment.
Able to work under pressure to meet tight deadlines, conflicting demands, frequent interruptions, and heavy work loads.
Flexible to work rotating shifts, which includes but is not limited to evenings, weekends, holidays and overtime as required.
Light to infrequently moderate physical effort; Requires handling of light and moderate weight objects including office equipment and other office supplies.
