Short Summary

Reporting to the Director, Human Resources, the Human Resources Assistant will be responsible for providing day-to-day support to the Human Resources (HR) team. The incumbent will be the first point of contact to the HR department; greeting and directing employees and managers while providing direct support to the Director, Human Resources. The primary scope of work includes, but is not limited to:
 

Job Description

Works with Director, HR to ensure timelines and deadlines are respected for all initiatives, objectives, projects, and departmental matters.
Prepares meeting documents, memos, minutes, reports and correspondence by gathering background information and conducting research, at the request of the Director, HR
Manage communication of the HR team- working with marketing for employee newsletter submissions
Maintains departmental calendar of events and initiates various cycle processes with the team. 
Supports with the administration of the employee engagement programs, such as tracking and administering awards and assisting with organizing celebrations
Work with DHR, for monthly Amex reporting and processing
Manage Delegation of Authority and Hospitality agreements
Provide administrative support to the HR team
Maintains the CN Tower organizational chart, updating on a monthly basis
Coordinates processing of vendor invoices, creating purchase orders and keeping track of required quotes and liaising with Finance to ensure timely payments are made. 
Assist with HRIS data entry, employment equity, emergency contact, address changes, training and disciplinary records
Assists and/or directs employee inquiries to appropriate HR team members

HR Office Management
Assist with the records management system for the HR department, including all data tracking, labeling, content classification, file storage, and retrieval, etc. 
Schedules regular HR team meetings and prepares meeting agenda, meeting minutes including updating team members with action items, where required.
Maintains current, accurate and complete employee files 

Working with the Senior HR Advisor completes full cycle recruitment functions on the Applicant Tracking System (ATS), including maintenance and tracking of job requisitions, creating and postings jobs, prescreening applicants generation of employment contracts, and coordination of third-party background screenings
Manage and follow up of the administration of the Progressive Corrective Action (PCA) process
Support new hire orientation as required

 

Qualifications

A relevant college diploma or university degree in Human Resources or Employee Relations or equivalent is preferred
Certified Human Resources Professional (“CHRP”) designation in progress or achieved is an asset
A minimum of two (2) years related experience in Human Resources,
Experience in a hospitality and tourism industry is an asset
