Title:  Coordinator, Facilities and Engineering

Short Summary

The Coordinator, Facilities and Engineering will be primarily responsible for the administration and coordination of the Facilities and Engineering department. This includes, but is not limited to, ensuring the implementation of policies, practices and procedures, expenditures tracking, resource planning, ordering of parts and materials, and maintenance coordination system improvements.

Job Description

Procurement Coordination
Apply procurement policy within the context of developing Request for Proposals and Vendor Master Service Agreements for products and professional services
Acting as the bid coordinator for the Facilities and Engineering department
Responsible for tracking and following-up on all procurement and resource planning for the department
Follow-up with contractors and internal stakeholders as required

Inventory Coordination
Inventory control, including cycle counting

Reporting / Administration
Consolidation of all department activities for periodic reporting
Create and implement work instruction documents
Responsible for tracking and updating the Computer Maintenance Management System
Compilation and administration of asset documentation
Develop and maintain recordkeeping systems and procedures
Prepare, revise and review department procedures and guidelines
Frequent collaboration with other departments to support their facilities and engineering requests, as required
Adhere to all Company policies and departmental procedures
Other duties as assigned


A diploma in Business Administration is a minimum requirement
A minimum of three (3) to five (5) years of administration experience in a facilities, engineering or maintenance department
Ability to work under pressure to meet deadlines, conflicting demands, frequent interruptions, and heavy workloads.
Advanced knowledge of the trades (electrical, plumbing, general maintenance etc.).
Experience with managing inventory in a manufacturing or similar environment,
Must be able to function well under pressure and attend to emergencies.
Proficient in Microsoft Office applications including Excel and Project

Working Conditions

Work involves medium exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
Medium physical effort. Requires occasional handling of heavyweight objects and, frequently, a large amount standing or walking. Effort applies to number of hours as required.
Ability to crawl, climb (i.e. a ladder), enter confined spaces and work at heights.
Ability to work in varying weather conditions (including but not limited to cold and hot weather)
