Short Summary

The Project Coordinator supports the planning, design, procurement, construction and closeout of residential development projects, while also providing administrative support to the Vice President, Construction. 

The Project Coordinator adds value primarily by managing the flow of project-related correspondence and documentation to advance and maintain project momentum. The Project Coordinator is a pivotal member of the Construction team, performing a broad range of tasks and activities in support of the Construction management team operations. 

Job Description

Project Planning and Design Development  

  • Assist Project Managers with project planning, scheduling, budgeting, and reporting activities.  
  • Coordinate third party consultants throughout the project lifecycle.  
  • Track design deliverables, submissions, reviews, and approvals.  
  • Maintain project documentation and drawing logs. 
  • Understanding and interpreting the requirements and details of Contract Drawings and specifications.  
  • Understanding of the consultant’s and contractor’s obligations and the client’s responsibilities under the contracts.  
  • Review and coordinate approvals of Design Builder, Construction Manager and Consultant progress draws. 

Construction Administration 

  • Support Project Managers to monitor construction progress against approved schedules and budgets.  
  • Attend project meetings and prepare meeting minutes and action item logs.  
  • Coordinate documentation and information flow between all project stakeholders.  
  • Work with the Project Managers to review and track RFIs and Change Orders.  
  • Assist with review of monthly progress claims. Coordinate with accounting to ensure timely payments.   
  • Participates in planning (i.e. physical, regulatory), servicing, and project management reviews/initiatives. 
  • Assists with the development and coordination of consultant selection processes. 
  • Assists in the preparation of documents for internal reports. 
  • Participate in the QA/QC and deficiency review process.  
  • Support Project Managers by tracking deficiency completion and warranty items.  
  • Coordinate and manage closeout documentation.  

Cost Control and Reporting 

  • Coordinate with Project Managers to maintain project budgets, cost reports, and cash flow forecasts.  
  • Assist in review of change orders.  
  • Support preparation of internal monthly project status reports. 
  • Works with the project accountant to provide necessary supporting information/documentation.    
  •  Assists in the preparation of cash projections and revenue and expenditure forecast for the annual 5-year Corporate Plan, monthly financial statements; analyzes costs against budgets/contracts to identify risk of budget over-run and controlling payments.   

Procurement and Contract Administration   

  • Assist with procurement processes.  
  • Coordinate Requests for Proposals (RFPs).  
  • Prepares engagement letters for approval, with adherence to CLC policies and guidelines. 
  • Prepares and administers contracts, ensuring proper authorization within CLC’s delegation of authority, verifies and monitors all subsequent accounting transactions, and initial draw down status. 
  • Maintain contract records, insurance certificates, and bonding documentation.   
  • Support the project managers to ensure compliance with the requirements in the contract.  

Qualifications

  • Post-secondary education, college degree, business or technical diploma or sufficient equivalent work experience in one of the following fields required:   
  • Engineering, Construction Management, Architectural Technology, Building Science, Project Management or a related field.   
  • Minimum of three (3) to five (5) years of experience in real estate development and/or building construction required.  
  • Good knowledge of all aspects of real estate development and delivery processes as well as current industry trends and practices.  
  • Experience with multifamily residential or mixed-use projects is considered an asset.   
  • Exposure to project delivery methods such as Design Build or Construction Management is beneficial.  
  • Knowledge of general business principles, financial management, as well as environmental issues/remediation techniques are assets.  
  • A valid G license and access to a vehicle to travel to and from sites, including valid and appropriate vehicle insurance.  
  • Advanced knowledge of Excel, Word, Outlook and PowerPoint required.  
  • Working knowledge of Microsoft Project, AutoCAD, an asset. 

Working Conditions

Compensation & Benefits  

Recruitment Range: $66,440 to $74,744*
